Maintenance starts before purchase. Decide who checks alerts, which parts can be replaced and how content remains available during failures. Record models, software versions and mounting access for each site. Get update commitments and replacement processes in writing. Remote monitoring reduces uncertainty but does not replace checking the image, surroundings and physical condition.
Keep a useful asset register
Record site, model, serial number, player, software, owner and access notes. Keep approved mounting and cleaning instructions. The first replacement tests the register: can a service partner bring the right part and work without surprises? Protect administrative credentials separately from widely shared project lists.
Turn alerts into action
Define detected states and responders. “Player online” does not equal “correct content visible.” Add suitable visual checks for important displays. Agree on escalation, tolerable downtime and fallback. Test an alert in the pilot and follow it through resolution, not just notification.
Plan updates and spares together
BSI generally recommends checking connected-device update support before purchase. Name an update owner for the display network and test changes before rollout. Clarify supply of power units, players and replacement displays. A replacement must fit orientation, control and existing content.
PLANNING EXAMPLE
Planning steps and acceptance checks
A branch network reports a black screen while its player remains online. Check whether monitoring detects that distinction or needs an additional visual check. The owner uses the asset register to give model and access details to service. Rehearse replacement at the pilot site, checking compatibility of replacement device, software and stored content. Finish the test with verified restoration rather than simply an alert notification.
| Aspect | What to check |
|---|---|
| Trigger a failure at a known site | Alert and asset register enable a concrete action |
| Install replacement at the pilot | Access, configuration and image are correct |
| Update software at the pilot | Playback and agreed rollback path are checked |
What to bring to the project discussion
| Aspect | What to check |
|---|---|
| Register | Site, model, version and access |
| Alert | Owner and escalation |
| Replacement | Compatibility and exchange route |
| Update | Test, rollout and fallback |
Three concrete next steps
- Test the asset register at one site.
- Rehearse an alert through resolution.
- Confirm update and spare availability.
Limit of this recommendation
A monitoring dashboard without an accountable person does not create reliable maintenance.
